Position Summary
The Factoring Operations Specialist is responsible for executing accurate and timely back-office processing across payroll, invoicing, funding, cash application, and reconciliations. This role supports the delivery of high-quality client service by ensuring financial data integrity, meeting banking deadlines, and partnering closely with Relationship Managers to resolve exceptions and maintain a stable factoring portfolio.
Key Responsibilities
Funding & Reconciliation
- Prepare and reconcile weekly funding reports, including:
- Invoices purchased
- Accounts receivable activity
- Reserve analyses
- Ensure all reconciliations are accurate, auditable, and completed within required timelines
Data Preparation & Imports
- Build and validate Excel/CSV files for system imports
- Perform accurate data entry for invoices purchased, ensuring consistency across systems
Cash Movement & Reporting
- Execute wire transfers and ACH transactions in alignment with banking deadlines
- Generate A/R aging and subsidiary reports
- Balance payroll and invoicing activity to accounting statements
Exception Processing
- Partner with Relationship Managers to research and resolve exception items
- Identify discrepancies, collaborate cross-functionally to resolve issues, and document outcomes
Quality, Compliance & Timeliness
- Meet all daily, weekly, and banking-related processing deadlines
- Maintain complete, audit-ready records in compliance with internal policies and procedures
- Identify opportunities for process improvements and workflow efficiencies
Required Qualifications
- Associate's degree in Accounting or equivalent work experience
- Strong Excel skills with experience working across multiple datasets and systems
- Understanding of:
- Payroll taxes
- Accounts Payable (AP)
- Accounts Receivable (AR)
- Cash posting
- Highly detail-oriented with strong organizational and time management skills
- Ability to manage deadlines in a fast-paced environment
- Strong collaboration and customer service mindset
Preferred Qualifications
- Experience in factoring, payroll processing, or financial operations
- Familiarity with reconciliation processes and exception management workflows
