Position Summary

The Factoring Operations Specialist is responsible for executing accurate and timely back-office processing across payroll, invoicing, funding, cash application, and reconciliations. This role supports the delivery of high-quality client service by ensuring financial data integrity, meeting banking deadlines, and partnering closely with Relationship Managers to resolve exceptions and maintain a stable factoring portfolio.


Key Responsibilities

Funding & Reconciliation

  • Prepare and reconcile weekly funding reports, including:
    • Invoices purchased
    • Accounts receivable activity
    • Reserve analyses
  • Ensure all reconciliations are accurate, auditable, and completed within required timelines

Data Preparation & Imports

  • Build and validate Excel/CSV files for system imports
  • Perform accurate data entry for invoices purchased, ensuring consistency across systems

Cash Movement & Reporting

  • Execute wire transfers and ACH transactions in alignment with banking deadlines
  • Generate A/R aging and subsidiary reports
  • Balance payroll and invoicing activity to accounting statements

Exception Processing

  • Partner with Relationship Managers to research and resolve exception items
  • Identify discrepancies, collaborate cross-functionally to resolve issues, and document outcomes

Quality, Compliance & Timeliness

  • Meet all daily, weekly, and banking-related processing deadlines
  • Maintain complete, audit-ready records in compliance with internal policies and procedures
  • Identify opportunities for process improvements and workflow efficiencies

Required Qualifications

  • Associate's degree in Accounting or equivalent work experience
  • Strong Excel skills with experience working across multiple datasets and systems
  • Understanding of:
    • Payroll taxes
    • Accounts Payable (AP)
    • Accounts Receivable (AR)
    • Cash posting
  • Highly detail-oriented with strong organizational and time management skills
  • Ability to manage deadlines in a fast-paced environment
  • Strong collaboration and customer service mindset

Preferred Qualifications

  • Experience in factoring, payroll processing, or financial operations
  • Familiarity with reconciliation processes and exception management workflows
