Document Management Assistant

Position Overview

The Document Management Assistant is a member of a Center of Excellence team responsible for providing document management and administrative support to functional areas and site personnel.

This position focuses on maintaining accurate paper and electronic records, supporting Electronic Document Management Systems (EDMS), performing data entry, and ensuring documents are handled in accordance with established procedures and records retention requirements.

Key Responsibilities

Document Management & Processing

  • Handle both paper and electronic documents according to established procedures.
  • Edit, route, publish, scan, review, catalog, classify, and store documents.
  • Maintain accurate and organized documentation within electronic and physical repositories.
  • Support document pickup and delivery throughout the site.

Electronic Document Management Systems

  • Execute standard documentation and information-management practices within supported Electronic Document Management Systems (EDMS).
  • Accurately enter and maintain information within site document management systems.
  • Perform various administrative and documentation-related tasks within electronic systems.
  • Support information retrieval and database maintenance.

Records & Data Management

  • Apply established records retention policies, practices, and procedures to site-published documents.
  • Organize and maintain document-related data and information.
  • Ensure a high level of accuracy and quality when processing records and documentation.
  • Generate documentation-related reports and metrics.

Required Qualifications

  • Working toward or completion of an Associate or Bachelor's degree in:

    • Business
    • Communications
    • Computer Science
    • Library Science
    • Related field

    OR

  • 2+ years of relevant work experience.
  • Proficiency with Microsoft Office, particularly:
    • Microsoft Word
    • Microsoft Excel
  • Excellent written and verbal communication skills.

Preferred Qualifications

  • Exceptional attention to detail with the ability to maintain a high level of accuracy and quality.
  • Ability to organize and maintain data and information.
  • Experience with database entry and information retrieval.
  • Experience working with Electronic Document Management Systems (EDMS).
  • Advanced Microsoft Word skills.
  • Proficiency with Microsoft SharePoint.
  • Technical writing experience.
  • Strong analytical aptitude and critical-thinking skills.
  • Ability to understand and apply key concepts and established procedures.
