Position Summary

The Contracts Administrator is responsible for managing contracts of moderate scope and complexity to ensure fulfillment of contractual obligations. This role supports the full contract lifecycle including proposal development, negotiation, performance monitoring, and compliance, while serving as a key liaison between internal teams and customers.


Key Responsibilities

Contract Administration & Compliance

  • Administer contracts by analyzing:
    • Performance requirements
    • Customer purchase orders (including Basic Contract Agreements and Long-Term Agreements)
    • Delivery schedules, pricing, and terms & conditions
  • Ensure compliance with contract terms, company policies, and regulatory requirements
  • Monitor contract performance and determine need for amendments or extensions
  • Identify and evaluate out-of-scope customer requests

Proposal Development & Bidding

  • Develop technically and commercially compliant proposal packages
  • Evaluate:
    • Performance requirements
    • Delivery schedules
    • Cost estimates (materials, labor, equipment)
  • Coordinate cross-functional input for RFP/RFQ responses
  • Prepare and submit proposals in alignment with company procedures

Contract Negotiation & Customer Interaction

  • Negotiate pricing, terms & conditions, and delivery schedules
  • Ensure agreements align with legal and company guidelines
  • Serve as primary point of contact for customers on assigned contracts
  • Participate in customer meetings and presentations

Order & Contract Performance Management

  • Monitor contract financial performance and delivery status
  • Investigate and resolve claims, disputes, or complaints
  • Collaborate with internal teams on:
    • Technical issues
    • Quality concerns
    • Data requirements

Compliance & Process Improvement

  • Support export compliance requirements and related initiatives
  • Ensure adherence to federal, state, and aerospace industry regulations
  • Apply lean principles to improve processes and standard work

Professional Development

  • Maintain current knowledge of contract management practices
  • Participate in professional organizations such as:
    • National Contract Management Association
    • International Association of Commercial Contract Management

Qualifications

Education

  • Bachelor's degree in Business Administration or related field
  • Contract management certification (preferred or in progress)

Experience

  • 3 years of contract management or contract administration experience
  • Experience in commercial and/or government contracting environments preferred

Knowledge & Skills

  • Strong understanding of:
    • Contract administration principles
    • Industry regulations and policies
    • Government procurement (if applicable)
  • Ability to:
    • Interpret and analyze moderately complex contract terms
    • Negotiate pricing and contract terms effectively
    • Manage multiple priorities and meet deadlines
    • Resolve customer inquiries and complaints professionally

Technical Skills

  • Proficient in:
    • Standard business applications
    • ERP and customer systems
