Position Overview

We are seeking a detail-oriented CMMS Clerk to support maintenance operations through accurate data entry, business system administration, and administrative support. This role is responsible for maintaining business systems, processing system transactions, coordinating office activities, and ensuring the accuracy of maintenance, purchasing, payroll, and invoicing records.

The ideal candidate is organized, technically proficient, and able to manage multiple responsibilities while maintaining a high level of accuracy.

Key Responsibilities

CMMS & Business Systems Support

  • Perform accurate and timely data entry into the Computerized Maintenance Management System (CMMS).
  • Support maintenance operations by processing required system transactions.
  • Ensure business systems are properly maintained and available, minimizing downtime except for scheduled maintenance or upgrades.
  • Monitor the accuracy, completeness, and timeliness of critical business system transactions.
  • Troubleshoot technical issues related to business systems, data, and tracking worksheets.
  • Serve as a liaison with internal business system support teams to resolve technical issues and communicate system improvements.
  • Communicate business system updates and process changes to affected personnel.
  • Train and coach employees on executing critical system transactions related to asset control, maintenance execution, and quality reporting.

Administrative Support

  • Coordinate meetings and office communications.
  • Schedule conference rooms, audiovisual equipment, and meeting materials.
  • Organize and support company events.
  • Maintain office organization, including breakroom supplies and office inventory.
  • Provide general administrative support as needed.

Financial & Operational Support

  • Process purchase orders and related transactions.
  • Verify quality and quantity information for purchasing activities.
  • Review and ensure the accuracy of invoices.
  • Support payroll-related transactions.
  • Assist with reporting and documentation to support maintenance and business operations.

Qualifications

  • Minimum of 2 years of relevant administrative, data entry, or business systems experience preferred.
  • Strong problem-solving and organizational skills.
  • Experience working with business applications or enterprise systems.
  • Understanding of purchase order processing and quality/quantity verification.
  • Intermediate computer skills.
  • Proficiency with Microsoft Office, particularly Excel.
  • Typing speed of 45–50 words per minute.
  • Ability to demonstrate proficiency in basic Excel and typing skills during the interview process.
  • Excellent attention to detail and commitment to data accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
