Position Summary
The Client Administrator (CA) is responsible for administering a portfolio of institutional client accounts with a strong emphasis on client service, account administration, and operational support. This role serves as a primary point of contact for clients, ensuring timely resolution of service requests while supporting Relationship Managers in maintaining and expanding client relationships.
The Client Administrator develops an in-depth understanding of products and services, proactively identifies opportunities to improve client satisfaction, and ensures all account activity complies with internal policies and regulatory requirements.
Key Responsibilities
- Serve as the primary point of contact for institutional clients' day-to-day servicing needs and inquiries.
- Support Relationship Managers with client retention, account administration, and relationship management.
- Execute and process client transactions accurately and efficiently.
- Resolve client inquiries independently by coordinating with internal operations and business partners.
- Communicate effectively with clients, internal stakeholders, and third-party service providers.
- Monitor client accounts to ensure compliance with company policies, procedures, and regulatory guidelines.
- Administer and oversee client accounts involving:
- Trust and custody services
- Corporate escrow accounts
- Benefit disbursements
- Investment management
- Commercial banking services
- Ensure compliance with legal, ERISA, reporting, and regulatory requirements.
- Maintain high standards of client service and proactively support client retention and account growth.
- Identify client issues, coordinate resolutions with internal teams, and communicate outcomes to clients.
- Build strong relationships across product lines to deliver exceptional client service.
- Understand client requirements and recommend approved solutions to meet business needs.
- Assist in the administration of:
- Qualified retirement plans
- Master trust custody accounts
- Non-profit accounts
- Investment management accounts
- Review and manage daily cash reports, including:
- Cash overdrafts
- Uninvested cash balances
- Appropriate cash investments
- Minimize cash processing errors and charge-offs by ensuring transactions are processed according to established procedures.
Required Qualifications
- Experience in client service, account administration, relationship management, trust operations, banking, or financial services.
- Strong understanding of institutional client servicing and account management.
- Excellent verbal and written communication skills.
- Strong problem-solving and critical thinking abilities.
- Ability to work independently while managing multiple priorities.
- Strong organizational skills and attention to detail.
- Experience collaborating with cross-functional teams to resolve client issues.
- Ability to maintain confidentiality and adhere to regulatory and compliance requirements.
Preferred Qualifications
- Experience with trust, custody, investment management, or commercial banking products.
- Knowledge of ERISA and qualified retirement plan administration.
- Familiarity with cash management and investment processing.
- Experience working in a highly regulated financial services environment.
- Strong customer service orientation with a focus on building long-term client relationships.
