Benefits Administration Specialist
Position Overview
The Benefits Administration Specialist supports the administration and day-to-day operation of employee benefit programs. This position works closely with internal departments, employees, managers, benefit vendors, brokers, and consultants to ensure benefit programs are administered accurately, efficiently, and in compliance with established requirements.
Duties are listed based on the estimated percentage of time. Other responsibilities may be assigned.
Key Responsibilities
Benefit Administration – 20%

Support the administration of employee healthcare and benefit programs under the direction of the Benefit Administration Manager.

Administer programs including:

Medical
-
Dental
-
Vision
-
Pharmacy
-
Section 125 plans
-
Qualified Life Events
-
Financial and Retirement plans
-

Ensure accurate and compliant day-to-day administration of employee benefit programs.

Provide timely support and guidance to employees and managers.
Benefit Operations – 15%
-
Support operational excellence across benefits administration.
-
Contribute to the continuous improvement of benefits operations.
-
Support workflow optimization and system updates.
-
Assist with the maintenance of benefit plan documents.
Annual Enrollment & Integration – 15%
-
Assist with the planning, coordination, and execution of the annual benefits open enrollment process.

Support system readiness and employee communications.
-
Coordinate with benefit vendors throughout the enrollment process.

Assist with issue identification and resolution.
-
Support special benefits projects designed to improve operational efficiency and the employee experience.
Vendor Management – 15%
-
Manage relationships with benefit providers, brokers, and consultants.

Partner with external providers to support the day-to-day administration of employee benefit programs.
Employee Support & Issue Resolution – 15%
-
Respond to employee benefit inquiries and provide excellent customer service.

Research and resolve benefit-related issues.
-
Coordinate with internal departments, including Payroll and Legal, as needed.

Partner with benefit vendors to ensure employee issues are addressed and resolved.
Benefits Administration & Reporting – 5%

Perform daily administrative functions supporting employee benefit programs.

Manage file feed transfers and statistical reporting.
-
Process enrollment elections and benefit changes for new hires and employees on leave of absence.

Process beneficiary changes.
-
Support Qualified Medical Support Orders (QMSO).
Benefits Invoice Auditing – 5%

Audit the preparation and submission of payments and invoices to external vendors.

Ensure benefit-related invoices are accurate and processed in a timely manner.
Vendor Meetings & System Enhancements – 5%

Participate in vendor status and planning meetings.
-
Assist with the implementation of benefit-related enhancements.

Participate in problem resolution activities to maintain effective vendor relationships.
Industry Knowledge & Continuous Improvement – 5%

Maintain knowledge of industry trends related to assigned areas of expertise.

Evaluate the potential impact of industry developments on benefit plans, programs, policies, and procedures.

Communicate findings and recommendations to management.

Identify opportunities to improve the employee benefits experience.

Requirements
-
Relevant education and/or professional experience in benefits administration or a related area.
-
Consideration may be given to candidates with 5+ years of relevant experience in lieu of a degree.
