Administrative Support Specialist
Monday – Friday | Full-Time | Professional Office Environment
Are you organized, detail-oriented, and someone who enjoys keeping things running smoothly behind the scenes? We are looking for an Administrative Support Specialist to provide day-to-day support to a busy Customer Service team.
This is a great opportunity for someone who is comfortable working with data, documents, computer systems, and multiple priorities. The ideal candidate is dependable, accurate, and enjoys being the person the team can count on to get things done.
What You'll Do
- Provide administrative support to the Customer Service team and manager
- Assist with order entry and routine order-processing activities
- Enter, update, and maintain customer and order information in ERP, CRM, and other systems
- Assist with customer portal administration, including uploading and retrieving documents
- Prepare and process quotes, forms, reports, and other documentation
- Maintain accurate customer records, account information, and electronic files
- Review documents for completeness and accuracy and follow up on missing information
- Gather and organize information to support customer requests and internal teams
- Perform data entry, filing, scanning, copying, and document management
- Assist with customer service reporting and tracking
- Communicate professionally with internal departments and customers regarding routine administrative needs
- Assist with departmental projects and other administrative tasks as needed
- Maintain confidentiality of customer and company information
What We're Looking For
- High school diploma or equivalent
- Previous administrative, clerical, customer service, or office experience preferred
- Basic knowledge of Microsoft Word, Excel, and Outlook
- Strong attention to detail and accuracy
- Comfortable working with computers and entering information into multiple systems
- Excellent organizational and time-management skills
- Ability to prioritize multiple tasks and meet deadlines
- Strong written and verbal communication skills
- Dependable, punctual, and professional
- Ability to work well independently and as part of a team
- Experience with ERP, CRM, customer portals, or order-entry systems is a plus
