Position Overview
This role provides critical administrative and project coordination support to engineering and plant operations teams. The position focuses on managing project tracking, reporting, logistics, documentation, and cross-functional coordination to reduce non-technical workload for engineers and ensure smooth project execution.
Key Responsibilities
- Maintain and update project spend data, including capital and expense portfolios; support budget tracking in coordination with Finance
- Prepare, analyze, and distribute monthly reports (project spend, labor, SAP-based reporting)
- Track and report on engineering, departmental, and operational metrics
- Manage experimental parts tracking and support quoting activities
- Coordinate purchasing requests, receipts, and contractor-related materials
- Organize and support recurring engineering and plant meetings (including daily plant meetings):
- Prepare agendas
- Consolidate presentations
- Capture and distribute meeting notes and action items
- Track follow-ups
- Schedule meetings, manage calendars, and coordinate vendor/visitor logistics
- Support onboarding for new employees, contractors, and interns (materials, system access, setup)
- Route and track access requests, IT tickets, and facilities service requests
- Coordinate on-site trainings, seminars, and travel logistics (registrations, itineraries, documentation)
- Manage shared inboxes, collaboration tools (Teams, SharePoint), and document repositories
- Maintain SOPs, templates, checklists, and controlled documents; support audit readiness
- Track project deadlines, submissions, and documentation requirements; send reminders and follow-ups
- Draft and distribute communications on behalf of the engineering team
- Perform additional administrative tasks to support engineering operations
Education
- High School Diploma or GED required
Required Qualifications
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to collaborate with stakeholders across departments
- Experience scheduling meetings and managing calendars across teams/locations
- Strong organizational and multitasking abilities
- Excellent attention to detail in data entry, reporting, and documentation
- Ability to prioritize tasks and manage deadlines in a fast-paced environment
- Strong written and verbal communication skills
Preferred Qualifications
- 2 years of experience in an Administrative Assistant or Project Coordinator role
- Experience supporting engineering, manufacturing, or plant environments
- Ability to anticipate needs, follow up on tasks, and resolve routine issues independently
- Experience working with cross-functional teams, vendors, and leadership
