Plant Administrative Assistant

Position Overview
We are seeking a highly organized and detail-oriented Plant Administrative Assistant to provide administrative support across a manufacturing facility. This role supports multiple departments while handling confidential information, coordinating plant activities, and ensuring efficient day-to-day office operations.
The ideal candidate will have prior administrative experience in a manufacturing environment, strong Microsoft Office skills, and the ability to manage multiple priorities with minimal supervision.
Key Responsibilities
- Provide administrative support to various departments throughout the plant.
- Manage and update digital display monitors, bulletin boards, SharePoint sites, and email distribution lists.
- Coordinate meeting logistics, including reserving facilities, ordering supplies, arranging meals, and supporting executive or customer visits.
- Assist with copier maintenance, toner replacement, and office supply inventory.
- Administer the employee uniform program by:
- Serving as the primary point of contact with the uniform vendor and employees.
- Placing new orders.
- Processing change requests.
- Cancelling orders as needed.
- Coordinate direct sales ordering and manage online invoice payments through the eProcurement system.
- Maintain employee locker assignments, conduct locker audits, and coordinate locker clean-out upon employee separation.
- Participate in weekly recruiting meetings for production employees and maintain hiring and termination tracking spreadsheets.
- Assist with interview day logistics and onboarding activities for new employees during their first week.
- Help plan and coordinate employee engagement activities and community involvement initiatives.
- Handle confidential employee and business information with professionalism and discretion.
- Perform other administrative duties as assigned.
Additional Responsibilities
- Compile, analyze, and reconcile reports.
- Maintain business records, files, and documentation.
- Receive, sort, and distribute incoming mail.
- Prepare routine correspondence and administrative documents.
- Coordinate travel arrangements and meeting logistics.
- Process purchase orders, invoices, expense reports, and bill payments.
- Utilize Microsoft Office applications, including Word, Excel, PowerPoint, database management, and presentation software.
- Perform high-volume administrative work while maintaining a high level of accuracy.
- Exercise sound judgment and work independently with minimal supervision.
Required Qualifications
- High school diploma or GED required.
- Minimum of 2 years of administrative experience in a manufacturing environment.
- Strong proficiency with Microsoft Office Suite, including:
- Word
- Excel
- PowerPoint
- Excellent organizational, communication, and time management skills.
- Strong attention to detail and ability to manage multiple priorities.
- Ability to work with confidential information professionally.
- Typing speed of approximately 60 words per minute preferred.
Preferred Qualifications
- Experience using Kronos or a similar payroll/timekeeping system.
- Experience supporting plant operations or manufacturing leadership.
- Experience with SharePoint and eProcurement systems.
