Administrative Assistant
Position Overview
We are seeking an experienced Administrative Assistant to provide comprehensive administrative and clerical support to managers, executives, and the broader organization. This position will support daily office operations, calendar and meeting coordination, communications, document management, expense reporting, and special projects.
The ideal candidate is highly organized, professional, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.
Schedule & Assignment Details

Schedule: Monday – Friday, 8:00 AM – 5:00 PM

Key Responsibilities
Executive & Administrative Support
-
Arrange and manage appointments, meetings, and conferences for senior executives and managers.

Maintain calendars, prepare daily schedules, and prioritize meeting requests.

Coordinate travel arrangements and accommodations as needed.
-
Provide day-to-day clerical and administrative support to managers and executives.
-
Assist with the coordination of special projects, events, and organizational initiatives.

Address and resolve administrative inquiries and requests from employees and external contacts.
Communication & Coordination
-
Manage incoming and outgoing communications, including emails, telephone calls, and written correspondence.

Maintain a high degree of professionalism when communicating with internal and external stakeholders.

Establish and maintain effective working relationships across all levels of the organization.

Collaborate with other departments to support projects, events, meetings, and business initiatives.

Provide general support and assistance to office visitors.
Records & Document Management
-
Maintain and organize physical and electronic records, documents, and files.
-
Develop and maintain effective filing systems to ensure information can be easily retrieved.

Prepare reports, presentations, correspondence, and other business documents.

Handle sensitive and confidential information with discretion and professionalism.
Expenses & Office Administration

Prepare, submit, and reconcile expense reports.

Keep management informed regarding account status and expenditures.

Assist with identifying cost-effective alternatives when appropriate.

Monitor office supply inventory and coordinate replenishment as needed.

Support the overall organization and day-to-day operation of the office.
Qualifications
Required
-
High School Diploma or equivalent.
-
3–6 years of previous administrative, customer service, or business support experience.

Proficiency with Microsoft Office Suite, including:

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Ability to effectively manage calendars, schedules, meetings, and competing priorities.

Ability to work effectively in a fast-paced environment and manage multiple responsibilities simultaneously.

Demonstrated ability to handle confidential and sensitive information professionally.

Preferred

Associate Degree or equivalent higher education.
