Administrative Assistant
Position Overview
The Administrative Assistant will provide high-level administrative support to the Controller Vice President and Controller leadership team. This role is responsible for managing executive calendars, coordinating meetings and travel, supporting business operations, and handling a wide range of administrative functions in a fast-paced environment.
The ideal candidate will be proactive, detail-oriented, highly organized, and capable of managing multiple priorities while maintaining professionalism and confidentiality.
Work Schedule & Location
- Schedule: 4/10 Schedule – 1st Shift
- Work Arrangement: Hybrid / Onsite as Needed
- Location: Deer Creek, Colorado Facility
- Expected Onsite Requirement: Approximately 2 days per week
- Travel/Expense Eligibility: Expenses Not Allowed
- Security Clearance: None Required
Key Responsibilities
- Provide administrative support to the Controller Vice President and leadership team
- Manage executive calendars, prioritize scheduling conflicts, and coordinate meetings
- Collaborate with other administrative professionals to support business operations
- Arrange domestic and/or complex travel itineraries
- Complete and manage expense reports
- Prepare and manage general correspondence and stakeholder communications
- Assist with managing business rhythms and operational priorities
- Anticipate leadership needs and proactively resolve scheduling or travel issues
- Perform diversified administrative functions requiring independent judgment and problem-solving
- Manage conference room scheduling and meeting logistics, including:
- Video Teleconferencing (VTC)
- Microsoft Teams
- IT coordination as needed
- Order and maintain office supplies and inventory
- Coordinate shipments, mail, and office logistics
- Support miscellaneous projects and departmental initiatives
- Provide occasional support outside normal business hours when needed
- Handle confidential and sensitive information with professionalism and discretion
Required Qualifications
- Minimum of 5 years of progressive administrative support experience
- Experience supporting senior leadership and executive-level staff
- Proficiency with Microsoft Office Suite, including:
- Outlook (calendar management)
- Word
- Excel
- PowerPoint
- Teams
- Experience arranging travel and processing expense reports
- Familiarity with standard office technology and troubleshooting, including:
- Phones
- iPhones
- Computers
- Laptops

- Experience with RMS or related systems
