Administrative Support Coordinator
Schedule:
Monday – Friday, 8:00 AM – 5:00 PM
The client is seeking a highly reliable, professional, and detail-oriented candidate who can thrive in a fast-paced manufacturing and office environment.
Position Summary
Under general supervision, this position is responsible for performing administrative duties of moderate scope and complexity requiring independent judgment, organizational skills, and familiarity with standard office procedures.
Key Responsibilities
- Provide administrative support to various departments within a combined manufacturing and office environment
- Organize, scan, and file critical operational records with close attention to detail, including part numbers, serial numbers, and related documentation
- Accurately enter detailed information into the Traceability database while adhering to quality standards, naming conventions, and file storage procedures
- Maintain office and kitchen supply inventory and ensure areas remain organized and stocked
- Process incoming and outgoing site mail deliveries daily
- Monitor and route voicemail messages from the primary phone line appropriately
- Support site visitors by scheduling conference rooms, coordinating catering, and assisting with visitor sign-in procedures
- Maintain organization and cleanliness of the lobby area
- Assist with physical file storage organization, year-end boxing of records, and preparation of documents for off-site storage
- Follow all company protocols related to safety, export control, and communication procedures
- Utilize Microsoft Office applications and Adobe Acrobat to organize documentation, track progress, and communicate effectively
Qualifications & Requirements
- Minimum of 2 years of related office or administrative experience, or demonstrated ability to perform the responsibilities listed above
- Educational certificate in a related functional area preferred
- Strong organizational skills with the ability to manage detailed documentation accurately
- Positive attitude with the ability to work collaboratively in a team-oriented environment
- Strong interpersonal and communication skills with a commitment to providing excellent support
- Ability to work effectively with others and contribute as a participative team player
- Experience using Microsoft Office applications, including Word and Excel
- Familiarity with office equipment, administrative procedures, and office terminology
- Ability to type accurately at a minimum of 40 WPM
- Strong computer proficiency required
