Position Purpose and Objectives
The Accounts Payable / Accounts Receivable Coordinator supports the Finance Department by managing accounts payable and accounts receivable activities, maintaining accurate financial records, processing vendor and customer transactions, monitoring outstanding balances, and assisting with account reconciliations.
Essential Job Functions
Accounts Payable
- Receive, review, verify, code, and process vendor invoices.
- Match invoices with purchase orders and supporting documentation, as applicable.
- Prepare and schedule vendor payments according to established payment terms and company procedures.
- Research and resolve invoice, purchase order, payment, and credit discrepancies.
- Reconcile vendor statements and maintain accurate vendor account records.
- Process employee expense reports and reimbursement requests.
- Maintain organized and accurate accounts payable records and supporting documentation.
- Assist with AP-related inquiries from vendors, employees, and internal departments.
- Ensure invoices and payments are processed accurately and in a timely manner.
Accounts Receivable
- Prepare and distribute accurate customer invoices in a timely manner.
- Receive, post, and apply customer payments to the appropriate accounts and invoices.
- Monitor outstanding customer balances and regularly review accounts receivable aging reports.
- Follow up with customers regarding past-due invoices, payment status, and outstanding balances.
- Research and resolve billing discrepancies, short payments, unapplied cash, and customer account issues.
- Process authorized credit memos, account adjustments, and other approved billing corrections.
- Reconcile customer accounts and maintain accurate collection notes and supporting documentation.
- Maintain organized and up-to-date accounts receivable records.
- Communicate professionally with customers regarding billing and payment inquiries.
- Escalate significantly past-due, high-risk, or unresolved accounts to Finance leadership as appropriate.
General Finance Support
- Review, verify, and reconcile accounting transactions and financial system reports.
- Assist with month-end account reconciliations and financial closing activities as assigned.
- Maintain accurate, organized, and up-to-date financial records and supporting documentation.
- Maintain the confidentiality and security of company, customer, vendor, and employee financial information.
- Assist with audit preparation, documentation, and information requests.
- Provide support for various Finance Department activities and special projects as needed.
- Perform other finance and accounting duties as assigned
Knowledge, Skills, and Abilities Required
- 3+ years of experience in accounts payable, accounts receivable, general accounting, or a related field preferred.
- Strong attention to detail with a high level of accuracy in financial and administrative tasks.
- Excellent organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills with the ability to communicate effectively with customers, vendors, and internal teams.
- Proficiency in Microsoft Office Suite, particularly Microsoft Excel.
- Experience working with accounting software and/or Enterprise Resource Planning (ERP) systems.
- Strong analytical and problem-solving skills, with the ability to research, identify, and resolve account discrepancies.
- Ability to handle sensitive and confidential financial, customer, vendor, and employee information with discretion.
- Ability to work independently while also collaborating effectively as part of a Finance team.
