Accounting Assistant
Key Responsibilities:
- Process vendor invoices and supporting documentation in an accurate and timely manner.
- Review and verify invoices against purchase orders and receiving records to ensure proper authorization and accuracy.
- Maintain and track outstanding payables to ensure vendors are paid according to established terms.
- Set up and maintain vendor records, including required tax documentation and account information.
- Research and resolve discrepancies involving invoices, purchase orders, receipts, and vendor statements.
- Monitor deposits, prepayments, and vendor credits to ensure proper application and reconciliation.
- Prepare weekly payment batches, including check and electronic payments.
- Manage company credit card transactions and perform monthly reconciliations.
- Process and monitor recurring operating expenses such as utilities, telecommunications, and facility-related invoices.
- Maintain vendor tax records and assist with annual reporting requirements.
- Provide backup support for customer billing and invoicing functions when needed.
- Assist with bank reconciliations, financial reporting, and general accounting data entry.
- Support month-end accounting activities and ensure compliance with established accounting procedures and internal controls.
- Collaborate with internal departments to improve financial processes and maintain accurate records.
Requirements:
- Associate degree in Accounting, Finance, Business Administration, or a related field preferred.
- High school diploma or equivalent with at least 2 years of accounts payable, bookkeeping, or accounting experience will be considered.
- Experience with accounting software platforms and automated invoice processing systems.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Proficiency in Microsoft Office, particularly Excel.
- Excellent attention to detail and problem-solving abilities.
- Ability to work effectively in a fast-paced, team-oriented environment.
