Job Title: TA Administrative Assistant
Job Summary: The Talent Acquisition Administrative Assistant will provide essential support to the Talent Acquisition team by managing the administrative aspects of recruitment, onboarding, and candidate tracking. This role is critical in ensuring a seamless candidate experience and efficient recruiting operations. Over time, the position has the potential to grow into a Corporate Recruiter role with greater responsibilities in sourcing, assessing, and hiring top talent
Key Responsibilities:
Recruiting Support
- Coordinate interview schedules, including travel arrangements if needed, and serve as the point of contact for candidates during the interview process.
- Track openings and update applicant statuses in the applicant tracking system (ATS).
- Manage internal job postings and facilitate employee referral programs.
- Maintain requisition records and ensure timely and accurate closing of job folders.
Onboarding and Documentation
- Handle the completion of I-9s, background checks, and pre-employment screenings.
- Assist new hires in completing onboarding documentation and coordinate new hire orientation sessions.
- Support compliance by maintaining accurate records for Equal Employment Opportunity (EEO) and Affirmative Action Plan (AAP) reporting.
Administrative Duties
- Monitor and respond to inquiries related to recruiting processes, ensuring a high level of candidate and hiring manager satisfaction.
- Prepare and distribute weekly recruiting activity reports.
- Maintain staffing process documentation and update policies as directed.
Future Growth Opportunity
- Participate in screening and sourcing candidates as skills develop.
- Gradually take on more complex responsibilities, such as developing recruiting strategies, evaluating candidates, and negotiating offers.
Qualifications:
Required
- Bachelor's degree, ideally in business, HR, or communications.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Ability to handle sensitive and confidential information with professionalism
- Familiarity with applicant tracking systems (ATS) and onboarding platforms.
- Basic knowledge of employment laws and recruiting compliance.
- Prior experience in an administrative or support role in HR or recruiting.
